Best Gym CRM Software: An Honest 2026 Comparison

Picking the best gym CRM software sounds simple until you open ten pricing pages and realize none of them mean the same thing by "CRM."

Some bury lead tracking behind a top-tier add-on. Some are really horizontal sales tools wearing a fitness logo. And a few are genuine gym platforms with the lead and member tools built in.

This guide cuts through that.

You'll get a plain comparison of the tools gym and martial arts owners actually shortlist, what each one includes versus gates, and what they really cost once you add the pieces you need.

One thing up front, because it matters: I run content at Gymdesk, which makes me about as neutral as a chef reviewing his own restaurant.

So yes, we rank Gymdesk first.

But I'm going to show my work—what each tool includes, what it gates, what it really costs, and the spots where other tools flat-out beat us.

I scored every tool on the same five things (below), pulled pricing from current public sources, and named a genuine strength for each competitor.

Read it with my bias in mind, and check the numbers yourself before you buy.

What Gym CRM Software Actually Is

A gym CRM is the software that captures a lead, tracks every member, and automates the follow-up in between.

It's the difference between a prospect who books a trial and one who falls into your inbox and never hears back.

The confusion starts because "CRM" gets stretched two directions:

  • A general business CRM manages contacts and sales conversations for any industry.
  • A gym CRM does that and speaks your daily language: billing, attendance, class booking, belt rank, family accounts.

For most owners, that second kind is what you want. You're not trying to run a custom enterprise sales operation. You're trying to turn more walk-ins into members and stop losing the ones you have.

THE SHORT VERSION:

If a tool can't handle your billing, attendance, and bookings alongside lead tracking, it's a contact list with extra steps—not a gym CRM.

Horizontal CRM vs Gym-Specific CRM

This is the fork in the road. Get it right before you compare prices.

A horizontal CRM—HubSpot, monday, Keap, Mailchimp—gives you deep lead tracking and marketing automation for any business.

It's powerful. It also knows nothing about a gym.

There's no attendance, no recurring membership billing, no class schedule, no rank tracking. You bolt those on with other tools and duct tape.

A gym-specific CRM—Gymdesk, PushPress, Mindbody, Glofox and the rest—builds the lead and member tools into the software that already runs your gym.

One login, one member record, one place where a lead becomes a paying member becomes a check-in.

When a horizontal CRM makes sense

If you run an unusual, high-touch sales motion—long custom deals, corporate wellness contracts, a sales team working a long list—a horizontal CRM's depth can earn its keep.

You'll pay for gym operations separately, and you'll spend time keeping two systems in sync.

When a gym CRM makes sense

For nearly every owner-operated gym, studio, or martial arts school, a vertical gym CRM wins.

You get the lead tools without giving up the billing and attendance you can't run without. Pick vertical unless you have a specific reason not to.

What to Look For in a Gym CRM

Feature lists are long and mostly noise. Five capabilities actually separate a real gym CRM from a glorified spreadsheet. Score every tool against these instead of counting checkboxes.

What to look for
Why it matters
The trap to avoid
Lead capture + follow-up
Every inquiry lands in one place with a clear next step
"CRM" that's just a contact list with no follow-up stages
Automation for leads AND members
Follow-ups fire for prospects and existing members (renewals, no-shows, win-backs)
Tools that automate prospects only
Billing built in
Memberships, failed payments, and reminders live in the same system
A CRM that hands billing off to a separate tool
Member communication
Email and SMS from inside the member record
Per-message fees that punish you for staying in touch
Acquisition reporting
You can see where members come from and what a lead is worth
Dashboards that track activity but not outcomes

If a tool nails these five, the rest is preference. If it misses two or three, no amount of polish makes up for it.

The Best Gym CRM Software Compared

Here's the honest field for 2026. Prices are starting points—most of these climb once you add the lead and marketing tools, so the "with CRM" reality matters more than the headline number.

GymMaster

Here's the fuller read on each, since the table only tells you so much.

Gymdesk

The all-in-one pick for martial arts schools and small-to-mid gyms.

Lead capture, follow-up automation, referrals, and acquisition reporting are in every plan at $75/month, and they cover existing members, not just prospects.

It rates 4.8 on G2 and Capterra.

The honest limits: email and chat support rather than phone, SMS as a paid add-on, and a thinner communication hub than PushPress. More on where it fits below.

PushPress

A genuinely modern, well-built platform, and the right call for CrossFit and class-based gyms.

The catch for a CRM buyer is that its lead and marketing tools live in the Grow add-on at $329/month, stacked on a Pro ($159) or Max ($229) plan—so the "free" tool becomes a ~$500+/month tool once you want lead capture, email, and SMS.

Payments are Stripe-only, with no processor choice.

Credit where due: PushPress moved rank tracking into its free tier in 2025, so the martial arts question is now about depth and tenure, not whether the feature exists.

Mindbody

The default for boutique fitness, wellness, and spa businesses, with the biggest marketplace and class-booking ecosystem.

It advertises a low starting price, but owners routinely report real bills well above it once per-student fees and processing (roughly 3–3.6%+) stack up, often on a 12-month commitment. The lead-management dashboard and campaign tools sit in the upper tiers.

It rates 4.0 on Capterra across nearly 3,000 reviews—a lot of history, plenty of it about a dated interface.

ABC Glofox

Now part of ABC Fitness, Glofox targets boutique studios and small multi-location operators.

It doesn't publish pricing; field quotes land around $250–$360/month, and review sites peg it at 4.4 on Capterra (348 reviews).

The honest caution is support: since the acquisition, owner reviews are polarized, with a visible cluster reporting slow responses.

GymMaster

A solid, no-drama choice for 24/7 and access-controlled gyms—door hardware integration is a real strength.

It starts around $89/month month-to-month. As a CRM, though, it's lighter on lead automation than the purpose-built options, and some capabilities are add-ons.

Zen Planner

Deep roots in martial arts and established gyms, and plenty of owners run it for years.

The CRM catch is structural: marketing and lead tools live in a separate Engage module at roughly $249/month on top of the ~$117 base, and a website is another add-on—so the all-in number climbs fast.

Kicksite

The friendliest entry price at $49/month (0–25 members), and it rates 4.8 on Capterra (126 reviews), with a loyal traditional-martial-arts following.

But it has no native mobile app, locks you into one payment processor with a monthly gateway fee, and—most important for a CRM—its automations fire for prospects only, leaving your existing members uncovered.

HubSpot

Here as the horizontal contrast. It's an excellent CRM with a genuinely free tier. I mean, we use HubSpot here, but then again, we're not a gym.

It just has zero gym operations, so you'd run your billing, attendance, and bookings somewhere else and sync the two. Worth it only if your sales process is genuinely unusual.

How to choose in about 60 seconds

Match yourself to the closest description and start there:

  • Martial arts school, want simple and all-included → Gymdesk, then Kicksite or Zen Planner.
  • CrossFit or class-based box → PushPress, then Gymdesk.
  • Boutique studio, yoga, or wellness → Mindbody or Glofox, then Gymdesk for a simpler bill.
  • 24/7 or access-controlled gym → GymMaster or Gymdesk.
  • Unusual custom sales process → a horizontal like HubSpot, plus separate gym software.

Trial two of them. An afternoon in each backend tells you more than any comparison table—this one included.

Where Gymdesk Fits

Here's our pitch, kept honest.

Gymdesk is the strongest pick if you run a martial arts school or a small-to-mid gym and you want the CRM built into operations instead of bolted on.

Lead capture, follow-up automation, referral tracking, automations for leads and members, and acquisition reporting are all there—and they're in every plan, starting at $75/month.

FULL DISCLOSURE:

We make Gymdesk, so we're not a neutral judge. We've tried to earn the #1 spot by being specific about where we win and naming the tools that beat us. Test it yourself—the 30-day trial needs no credit card.

What actually sets it apart for a CRM buyer:

Everything's included at every price. You don't unlock lead tools or marketing at a higher tier.

The only thing that changes as you grow is member capacity—$75 (up to 50), $100 (up to 100), $150 (up to 200), $200 (up to 400).

Compare that to gating a lead dashboard behind a $329 add-on.

Automation covers members, not just prospects. Win-backs, failed-payment nudges, and renewal reminders fire automatically alongside new-lead follow-up—the half of CRM that prospect-only tools skip.

It was built for martial arts from day one. Belt and rank tracking, skills curriculum, and family accounts are native, not retrofitted.

If you've felt the "pilates vibes" from generic software, this is the opposite.

Where Gymdesk isn't the answer, plainly:

  • Support is email and chat, not 24/7 phone.
  • It's not built for 10+ location franchises or Salesforce-level custom sales.
  • SMS is a paid add-on.
  • If your top priority is a deep communication hub—phone porting, WhatsApp, a unified inbox—PushPress's Grow module is genuinely further along.

Pick the tool that fits how you actually run your gym.

If you run a kids program, a striking school, or a multi-discipline academy, our martial arts software breakdown goes deeper on the rank and curriculum side, and the story behind building the CRM explains why it works the way it does.

How Much Does a Gym CRM Cost?

The honest answer: "CRM cost" for a gym is really your all-in platform cost, because a standalone CRM hides the price of the gym operations you still have to buy somewhere.

Run the math on the full stack, not the teaser price:

  • A "$159" plan plus a "$329" CRM add-on plus a branded app is a ~$500+/month decision.
  • A "$99" plan on a 12-month contract with ~3% processing and a per-student fee is more than $99.
  • The tool with everything included at $75–$200 often ends up cheaper than the one with the lower sticker.

A clean way to compare: total the monthly cost of everything you'd actually turn on—lead tools, marketing, website, app, processing—for each tool at your member count.

The gym management software cost guide walks through that with current numbers, and the best gym management software roundup covers the operations side if you want the full platform view.

Here's a cost comparison tool for several top gym management software options:

For deeper, tool-by-tool breakdowns, the honest comparison pages for PushPress, Mindbody, Glofox, Zen Planner, and Kicksite lay out the numbers side by side.

Manage Your Members Right

Most gyms don't need a more powerful CRM.

They need lead and member tools that live inside the software already running their gym—so a trial booking, a membership, and a check-in are the same record, and nobody falls through the cracks.

Score your shortlist on the five things that matter: lead capture, automation for leads and members, built-in billing, member communication, and acquisition reporting.

Add up the full cost of what you'd actually use. Then, trial the one that fits how you run your gym.

If that's a martial arts school or a small-to-mid gym that values simple and reliable over complex and configurable, give Gymdesk 30 days—no credit card, all features on.

Worst case, you've learned exactly what you need before you commit anywhere.
