ジムの成長

The email shows up between the 6pm class and the 7pm class.

It's selling an AI receptionist for gyms that answers every call, books every trial, and never takes a sick day. There's a demo link and a calendar.

There's also a picture of a smiling woman wearing a headset, who, to be fair, also never takes a sick day, because she's a stock photo.

Then your own gym software sends a newsletter about going "AI-first."

So you start wondering which parts of your front desk a machine could actually do without costing you members. That's a fair question, and the vendor pages are not going to answer it for you.

I read them so you don't have to.

Here's the short version: an AI receptionist is good at the logistics jobs (the hours question, the trial booking, the 9pm inquiry) and bad at the moments where a member decides whether your gym knows who they are.

If you want the bigger picture first, AI for gym management covers what "AI" means across gym software. This one stays at the desk.

What Your Front Desk Actually Does

Your front desk does two kinds of jobs: logistics and relationships. You've probably never written them down.

The front desk is usually you, between classes, holding a phone in one hand and a kid's lost water bottle in the other. But the list is worth making. A vendor demo only ever shows you the first kind of job.

A typical week at the desk:

The first four rows are where the hours go. The last four are where the members go.

One catch before you hand any of it off: a tool only takes a job off the desk if whoever's standing at the desk can actually run it. At ITC New York, Mark Gutman went looking for new gym software because his father, Sensei Greg Gutman, had nearly given up on the whole idea:

"I wanted something that my dad could understand because we were very close to him being like, I'm done with this. I want to go into pen and paper, which I really didn't want."

If you want a number on what the logistics side costs you, plug your own week into the admin time calculator. It's a little sobering. Bring a snack.

The Jobs AI Can Take Off Your Plate

Let's be honest about this part, because it's the part the skeptics skip.

AI tools, and plain automation, do these jobs well. A machine doesn't get tired of the parking question.

The questions you answer over and over

Hours, where to park, whether beginners are welcome. Whether they need to buy a gi before the first class (they don't, please tell them they don't).

These have one right answer that doesn't change from caller to caller. That's exactly what a bot is for.

Booking the first class

A booking link and a calendar beat phone tag every time.

A self-serve link is the fastest response there is, because the lead doesn't wait for anyone. And speed matters.

In the original MIT and InsideSales.com study, the odds of qualifying a web lead dropped 21 times when the first call came at 30 minutes instead of five.

It's a 2007 study of B2B sales leads, so take it as direction. For the gym version, read up on speed to lead.

After-hours capture

A parent shopping for kids' classes at 9pm isn't going to call back tomorrow. They're going to open the next tab.

Capture that inquiry, reply right away, and let them book if they're ready. The actual conversation can wait for morning.

The same logic holds when nobody's at the desk during the day, too. That's the subject of running unstaffed hours.

Reminders and routine follow-ups

Class reminders, waiver nudges, the "you started booking a class and didn't finish" message.

These are timing jobs. Nobody needs a human to remember that a class starts at 6pm.

The Jobs That Should Stay Human

These are the moments where a scripted answer costs you a member, or worse.

The cancellation call

This is your only real chance at a save, and a bot handles it badly in one of two ways.

It either fights the member, which is miserable for them and the exact behavior click-to-cancel rules target. Or it processes the cancellation politely and lets them walk out without a single conversation.

(The FTC's federal click-to-cancel rule was struck down in July 2025, and the agency reopened the question in March 2026. The linked post covers where things stand.)

Even the vendors draw the line here.

SuperDupr, which sells AI voice agents to gyms, says its AI handles routine, policy-compliant cancellations well. For the other kind:

"Well-configured AI never tries to 'save' a cancellation where emotion is high; it hands off immediately."

The member who's drifting

Software is great at noticing. Somebody still has to pick up the phone.

At Etobicoke Jiu-Jitsu, Jorge Britto watches for students who miss a class or two and gets someone on the phone or the email.

His reason:

"Sometimes the students think that we don't notice them, and they need to understand that we notice you."

The early weeks matter most here, which is the whole argument behind the 5th-class cliff.

The "I think I got charged twice" call

A member walks up after class, phone out, pointing at their bank app.

Maybe it's a double charge. Maybe it's a pending authorization that'll disappear tomorrow.

Either way, they want someone to look at it with them, and a bot reading out your refund policy is the fastest way to turn a billing question into a cancellation.

The nervous first visit

Walking into a martial arts gym for the first time is intimidating. People worry they'll get hurt, or look silly, or both.

Two Bridges Muay Thai has a system for this they call the Three Friend Rule.

One of the owners explained how it starts:

"They come in, the front desk is their first friend. The front desk introduces them to a coach."

The coach introduces them to a training partner, and that's friend number three. A chatbot can book the visit. It can't be friend number one.

Injuries, safety, and parents of minors

No hedging here.

Anything involving an injury, a safety concern, or a parent's question about their kid goes to a named adult, every time.

The Hand-Off Map

Most front-desk jobs don't sit cleanly on one side. The machine takes the first half, and a person takes the second.

The whole desk on one page:

What Members Think About Talking to a Bot

The research mostly lines up with that map, which is a relief, because I'd hate to have to argue with Gartner.

In a Gartner survey of 5,728 customers from December 2023, 64% said they'd prefer companies didn't use AI for customer service. And 53% said they'd consider switching to a competitor if they found out a company was going to.

That sounds damning until you look at what people want bots for.

Five9, which sells contact-center software, asked consumers in its 2025 Customer Experience Report.

Most of them (59%) said they'd take an instant AI chatbot over waiting for a live agent. But 74% preferred phone support for complex or urgent issues, as Call Centre Helper reported.

So it depends on the job.

In Five9's numbers, people are happy to let a bot handle the quick stuff and want a person when something's complicated or urgent. I'd add anything about money to that list.

How to Judge an AI Receptionist Before You Buy

The vendor pages answer the questions they want asked. Bring these to the demo instead:

1. Does it hand off, and to whom? Ask to see a live transfer. Then ask what happens at 2am when nobody's there to transfer to.
2. Does it tell callers it's an AI? Vendors handle this differently. Decide your own policy before the demo, so the salesperson doesn't decide it for you.
3. What can it say about money? It should never quote a price you can't honor or negotiate a cancellation.
4. Where does the conversation end up? If the transcript doesn't land on the member's or lead's record, somebody has to retype it. That somebody is you.
5. What does it cost at your call volume? Get the price for your actual number of calls. The starter plan in the hero banner is priced for someone else. The table in the next section has starting prices.

Run the same five questions when it's your own gym software doing the pitching.

PushPress, for one, announced it's going AI-first. It said one of the first tools would be:

"an AI assistant for your front desk that can interact with leads and members 24/7."

Question one sorts out a lot.

As of October 2026, the AI Assistant on PushPress's product page talks to owners and staff, not members.

Mindbody's AI Concierge does talk to clients, by text and web chat, following up missed calls and booking or rescheduling. It's included in the Ultimate plan, which turns question five into a question about your whole plan.

The rest of that lineup is in Mindbody features.

A Person, an Answering Service, or Automation: Picking for Your Size

The answer mostly comes down to your member count and how much of the desk you cover yourself, so start with what each option costs.

Prices and fit, as of October 27, 2026:

Two rules of thumb read off that table.

Under about 100 members, with an owner who answers their own texts: automation for the logistics jobs, and you for everything else.

That's how Matthew Pollino runs Triple 7 Jiu-Jitsu.

The software flags the student who hasn't checked in for a few days, and he sends the text himself, because he thinks that's the whole point at that size:

Somewhere between 100 and 300 members, with an owner who has a day job: automation plus a person for the live calls.

That person might be a part-time hire, a virtual assistant, or an answering service.

Marty Herrick runs Adayama Jiu-Jitsu around a full-time job in fintech. For an owner like that, the phone ringing at 2pm is a real problem. If you're adding a person, read up on managing gym staff first.

Plenty of small businesses are taking the first route, too.

In the US Census Bureau's business survey, AI use among firms with fewer than 20 employees didn't change significantly between December 2025 and May 2026.

Where Gymdesk Fits

Gymdesk handles the logistics side with automations you set up once, and routes the rest to a person.

How that maps to the desk:

• New-lead and abandoned-booking triggers send an instant email reply with the booking link, so the 9pm parent hears back at 9pm. The lead lands in your lead management pipeline, with every message sent and received on its profile.
• A cancellation-request trigger can create a task assigned to a staff member, so the save conversation lands on a human's desk. You build it once in gym automations.
• Absence tracking flags the member who's gone quiet on your dashboard, and an absence automation can put a follow-up task on your list. You send the text.
• Two-way texting with quiet hours holds automated texts until your quiet hours end, so nobody's phone buzzes at midnight. Replies land on the member's profile with an email to you, so any staffer can answer.

Plans start at $75 a month for up to 50 active members on Gymdesk Payments, with every feature included. Texting is a usage-based add-on.

We're not racing to staple AI onto the feature list.

We'd rather put the effort into automation that gets you out from behind the desk and onto the mat. It works on a Tuesday.

Answer the Calls That Matter Yourself

Let the software answer the parking question at 9pm and send the booking link before you've locked up.

Keep your phone for the member who's thinking about cancelling, and the parent with a question about their kid. If you want to see how the automation side works, start a 30-day free trial.
