Does Zen Planner Do Payroll?

They do. According to their website, “Tracking payroll in Zen Planner is very robust. You can track payroll based on sessions (appointments and classes), commission-based, and hourly.  Every pay period, it will tell you how much to pay each of your staff members.  You also have the ability to import these reports into another payroll software via a CSV file, if you use another software.” 

Not bad! This isn’t full-service payroll processing. You’re still going to need to integrate with a separate payroll provider like ADP or Gusto—something to keep in mind.

This is great, but it’s going to require that you take some time to learn the ins and outs of their system. Here’s why this is important. Some of the actions you take cannot be undone (e.g., batch updating).  If you make a mistake, you could be in a world of hurt.

Not a great plan.

Especially when you’re working with other people’s money, if you decide to move forward with Zen Planner, you’ll want to spend some time learning about their payroll management system. If you don’t have the time, their platform may not be a fit. 

One more thing. Report customization is available, but it’s often Limited and requires a significant amount of technical know-how. If that’s not you, ensure you have the necessary support to work with their tools.

Gift cards must be purchased in whole dollar amounts. Additionally, “purchase amounts must fall within the minimum and maximum dollar amounts predetermined in Studio Retail.”

  • Enter the Gift Card Name. This is how it appears to members.

Gift cards are emailed directly to the purchaser (Member or Non-Member). If they’d like to give it to someone else, they can simply share the gift card code. The gift card recipient uses the digital code just as they would a discount code.

Can I Manage Multiple Locations with Zen Planner?

Yes, you can switch between different locations in the Zen Planner mobile apps via “Accounts.” For Business Owners & Staff: Log in to your Zen Planner account, click “Setup“, and then select “Locations” to add each new facility.

Open the Zen Planner Staff App, tap or click your profile picture. Select “Accounts” to add or switch between different location databases. While Zen Planner does offer multi-location management, it can be challenging to work with your data—some users report that reporting across locations is limited.

With Gymdesk, you can manage multiple gyms with the same account. Click on the dropdown that appears when you click on the gym name or logo in the top header. Click on the “Add New Location” button, and you will be sent to the gym creation form.

Does Zen Planner Support Virtual Classes?

Zen Planner supports virtual classes, but it doesn’t have strong built-in tools for virtual class delivery. This means you will need a specific set of integrations with Zoom or other platforms if delivery is a concern.

How Does Zen Planner Handle No-Shows?

Welp, Zen Planner doesn’t automatically charge for no-shows. Their platform provides you with the tools to manage them. For example, you can create a weekly no-show report, send automated reminders, set up waitlists, manually add charges, or trigger notifications for members who fail to attend. 

From there, you can use the system to identify missed reservations and then manually add a bill or la ate fee to the member’s profile.

I mean, that kinda works, right? 

How Gymdesk handles No-Shows

So, Gymdesk handles no-shows by allowing gyms to set up a “Booking no-show” trigger via marketing automations. Once this is set up, gyms can automatically send system emails and other notifications. 

Okay, what happens to the member? 

When a member fails to attend a scheduled class they signed up for, gyms can choose to automatically deduct a class session from a member’s package for a no-show.

Oh, wait, wait, wait, that seems kinda harsh! Can’t we give them another chance?

Absolutely! You can also forgive no-show charges or restore lost sessions in Gymdesk if the situation warrants it. 

Does Zen Planner Provide Tools for Client Retention?

Yes, but the tools require manual setup, and they’re pretty basic. The response is basically broken down into two reactionary options for gym owners.

  2. Manual outreach.

These options can work if you’re a master copywriter, but they’re all reactive. Members have to leave before Zen Planner’s retention tools take effect.

At Gymdesk,  we prefer the proactive approach. We want to identify progress with clients in advance. Our platform offers proactive retention features you can use before your relationship with members goes south—automated check-ins, milestone celebrations, and easy-to-run loyalty programs.

Can I Run Promotions Through Zen Planner?

Zen Planner requires that you set your promotion up as a membership option. You’ll probably want to send out automated email sequences. You can use these features to create targeted promotional campaigns (e.g., 6-Week Challenges). Both Zen Planner and Gymdesk Zen Planner allow you to create and manage promotions by automating pricing, managing discount codes, creating gift cards, tracking member engagement through loyalty programs, running challenges, and offering referral bonuses. 

Gymdesk takes things further, allowing you to run promotions, discounts, referral campaigns, rewards, and special events (online and in-person) with ease. This also includes redemption and ROI tracking directly within our platform.

Can I Track Employee Hours in Zen Planner?

Absolutely. With Zen Planner, staff members can clock in and out of their shifts. No need to manually calculate hours worked or pay for another service to allow clocking in and out. However, this feature is ideal for staff members who are paid hourly, regardless of their role.

If you’d like to import employee hours for payroll processing, you’ll need to export your data to a third-party provider.

How Gymdesk tracks employee hours

Gymdesk offers two methods for tracking employee hours.

  • Hour-based tracking
  • Session-based tracking

For the hourly-based payroll, staff members will be able to log the hours they worked through their account. They will see a “Log Payroll”  tab at the bottom of the left-side menu. Their hours will be totaled up at the bottom. 

For session-based payroll, staff members must check in to sessions using their staff account. Checking in will log one session rate. Staff members will have a “Manager” note next to their name.

 You can work with this data in payroll reporting.

Payroll reporting can be accessed by clicking on the “Gym” navigation tab and then selecting “Payroll”. This provides an overview of hourly and/or session-based time logged, totaling the staff’s earnings.  You can filter by dates and download the report. Clicking the eye icon will display a breakdown of the logged hours/sessions. To edit the hourly payroll, click on the pencil icon. Closing the pay period means no further changes can be made. 

With Gymdesk, you get integrated time tracking and payroll-friendly exports. This makes it easy to pay staff accurately.

Can I Create and Sell Online Courses with Zen Planner?

Unfortunately, Zen Planner doesn’t offer native support for online courses. Outside of integrations, there’s no way to create and sell online courses directly with their platform natively. Zen Planner is intended to be a gym and studio management platform. That platform is designed for member scheduling, billing, and retail operations.


Can I create and sell online courses with Gymdesk? 

With  Gymdesk, you can create and sell memberships, programs, seminars, workshops, events, and digital products directly to your members. Use Gymdesk to process payments, manage your content, and handle delivery of your digital or online content.

If you’re delivering digital content via platforms like Google Meet or Zoom, you can integrate Gymdesk with these platforms directly. 

Does Zen Planner Offer a Blog Feature?

If you have the budget, Zen Planner Engage could be a good fit. 

If you’re not a Zen Planner customer, the price is $299 per mo. plus a $300 fee. If you’re an existing Zen Planner customer, your price is $249 per mo., which includes a custom website and blog. 

Their website and blog product, while useful, is not as robust as other services with a website builder. Zen Planner offers web design services, which is a pretty good indication that their tools aren’t as simple as drag-and-drop tools like Wix or Squarespace.
